Rules for Cancellation & Refunds
Procedures for voiding tickets, securing refunds, and managing future corporate credit.

1. Deposit & Payment Terms
All bookings facilitated by Base Fare require a non-refundable deposit (amount specified at time of booking confirmation). The remaining balance is due no later than 30 days prior to departure. Failure to remit final payment by the due date may result in automatic cancellation without deposit refund.
2. Cancellation Fee Schedule
Cancellations must be submitted in writing to reservation@base-fare.com with your booking reference number. Written notice is considered received on the next business day if submitted after 5:00 PM EST. Fees are calculated as a percentage of the total booking value:

3. Standard Ticket Cancellations & Non-Refundable Fares
Most heavily-discounted airline tickets are non-refundable. In some cases, airlines charge a cancellation penalty and refund the remaining balance to the original form of payment. Passengers or authorized corporate arrangers must contact their dedicated Travel Manager with full booking information for security verification before any itinerary can be voided.
For non-refundable tickets, many airlines offer the residual value as future flight credit, tied to the passenger name and valid for one year from the original issue date.
4. Refundable Tickets
If you purchased a fully refundable fare, you must notify Base Fare at least 24 hours before the scheduled departure time and submit a formal written refund request. Approved refunds are processed back to the original form of payment within 5–10 business days.
5. No-Show Policy
- Outbound Warning: If a traveler becomes a NO SHOW for the outbound trip of a round-trip ticket, the entire ticket (including the return) automatically becomes non-refundable and void.
- No-show tickets may be eligible for exchange, subject to airline penalty fees, no-show fees, and applicable fare differences.
- Refund Voidance: If a refund is requested on or after the flight departure time, the ticket reverts to non-refundable no-show status.
6. Supplier-Imposed Cancellations
Base Fare acts as an agent for airlines, hotels, tour operators, and other travel service providers. Refunds for supplier-cancelled services are subject to the individual supplier's terms and conditions. Base Fare will use commercially reasonable efforts to obtain refunds on your behalf but cannot guarantee recovery of funds from third-party suppliers.
7. Cancellation Finality
Once cancellation and refund requests have been officially processed and authorized through the GDS, they cannot be reversed.
8. Dispute Resolution — Please Read Before Initiating a Chargeback
If you are dissatisfied with any service, believe there has been a billing error, or have a concern about your booking, you must contact Base Fare directly before initiating a dispute or chargeback with your card issuer.

Upon receipt of your written complaint, Base Fare will:
- Acknowledge your complaint within 2 business days
- Conduct a full review within 7 business days
- Provide a written resolution including any applicable refund, credit, or explanation
Chargeback Notice: Initiating a credit card chargeback without first contacting Base Fare through the process described above may result in suspension of services and legal action to recover associated costs. Base Fare retains comprehensive documentation of all bookings, payment authorizations, service confirmations, and customer communications, which will be submitted in full to the card network during any formal dispute review.
This policy constitutes part of your agreement with Base Fare and was acknowledged at the time of booking confirmation.
